1. The Basics
Product Title
- Be Clear and Concise: State exactly what the item is.
- Professional Formatting: Avoid using all-caps, emojis, or excessive punctuation (like "!!!"). Listings with clean, professional titles are approved faster and perform better in search.
- Brand Name: If applicable, include the brand name at the start of your title.
Description
- Provide Detail: Explain what makes your product special, including materials, dimensions, and uses.
- Use Clear Formatting: You can use line breaks to separate paragraphs so the information is easy for customers to read.
Key Features (Highlights)
You must add 1 to 5 bullet points. These are the most important facts that appear right next to your product photo. Keep each bullet point short and punchy.
2. Finding the Right Category
Choosing the correct category is the most important step for making your product searchable.
- Example: If you're selling a "Mountain Bike," navigate through Sports > Cycling > Bikes > Mountain Bikes rather than just selecting "Sports."
3. SEO & Search Discoverability
To make sure your products appear when customers search, follow these optimization tips:
Keywords & Tags
- Identify Search Terms: Think about what words a customer would type into the search bar. Include these naturally in your title and description.
Informative Highlights
The 1 to 5 bullet points (highlights) you add should be used to mention specific technical details like "Stainless Steel," "BPA-Free," or "Assembled in USA."
4. Managing Your Drafts
One of the most helpful features of the Seller Center is the ability to work on a product draft over several sessions.
Automatic Saving
You don't need to click a "Save" button. As you type and upload photos, the system automatically saves your progress. You can close your browser or navigate away at any time without losing your work.
Finding Your Saved Drafts
To return to a product you've started:
- Go to the Products page in your dashboard.
- Click the Drafts tab at the top of the list.
- Click on the product title to pick up right where you left off.
Editing and Deleting
- Keep Editing: You can keep making changes to a draft as long as you need.
- Deleting: If you start a product by mistake or no longer wish to list it, you can delete it while it is still a Draft. Once a product is submitted for review or approved, it can be archived.
5. Adding Great Photos
Photo Requirements
- High Resolution: We recommend photos that are at least 1000 x 1000 pixels.
- Main Photo: Your primary photo should show the product clearly against a plain white background.
- Variety: Use multiple photos to show different angles, close-ups of details, and the product in use.
- Color-Specific Photos: If your product comes in different colors, you can upload specific photos for each individual color. This allows customers to see exactly what they are selecting.
6. Sizes, Colors, and Choices (Variants)
If your product has different options (like a shirt that comes in Small, Medium, and Large), use the Choices section to create variants.
How Variants Work
| Step | Action | Why it Matters |
|---|---|---|
| Name your option | Create a name like "Size" or "Color". | Tells the customer what they are choosing. |
| List the values | Add "Red", "Blue", "Small", "Large". | Provides the specific choices available. |
| Manage SKU/Price | Each combination gets its own SKU. | Allows you to track stock and price for "Red, Large" separately from "Blue, Medium". |
lightbulb Tip
You can create multiple options (e.g., both "Size" and "Color"). The system will automatically generate all possible combinations for you to manage.
7. Shipping & Package Info
To ensure accurate shipping for your customers, provide the weight and size of the final shipping package.
- Weight: Enter the weight in ounces (oz) or pounds (lb).
- Package Size: Provide the length, width, and height of the box after the product is packed and ready to ship.
- Condition: Select whether the item is New, Like New, or Refurbished.
8. Understanding Product Statuses
Your products will move through several statuses during their lifecycle on Wabbus:
- Draft: Your work-in-progress. Only you can see it. You can edit or delete drafts freely.
- Pending Review: You have submitted the product. Our team is checking it for quality and policy compliance.
- Active: Your product is live and available for purchase by customers.
- Rejected: The listing was not approved. Check the "Feedback" section on the product page to see what needs changing.
- Archived: You have removed the product from the marketplace. It is no longer for sale but remains in your records for historical order reference.
9. Submitting for Review
The Approval Process
When you are ready, click Finish to send your listing to our review team.
- Submitted: Your listing is currently under review.
- Approved: Your product is now live on the marketplace.
- Rejected: If your listing needs changes, we will provide specific feedback on what to fix.
💡 Pro-Tips for Fast Approval
- Double-Check Measurements: Accurate package sizes prevent shipping issues
- Substantive Edits: If your listing is rejected, please ensure you make actual improvements to the text or photos before resubmitting.
- Quality Over Quantity: One high-quality photo is better than several blurry ones. Aim for bright, clear lighting.

- In the drawer that appears, you can enter the Carrier and Tracking Number for each selected order on one screen.

For high-volume vendors, the fastest way to fulfill orders is by uploading a CSV file.
How to Import
-
Click the Import CSV button at the top of the Orders page.
-
Download the Template File to see the required format.
-
Required Headers: Your CSV file must use the exact column headers:
order_number,carrier, andtracking_number(lowercase with underscores).
zoom_in Click to Enlarge -
Upload your file. The system will validate your data and highlight any duplicates or missing fields before you even click import.
-
Once validated, click Import to process the tracking updates in the background.
Common Validation Alerts
| Alert | Meaning |
|---|---|
| Missing Columns | Ensure your file has columns for Order Number, Carrier, and Tracking Number. |
| Duplicate Tracking | You've used the same tracking number twice in the same file. |
| Tracking Too Short | Tracking numbers must be at least 4 characters long. |
| Unknown Carrier | Use standard names like "UPS", "FedEx", or "USPS". |
5. Managing Cancellations
How to Cancel
If an item is out of stock or you cannot fulfill an order, you can cancel it from the Unshipped tab.
- Click the Cancel button on the order row.
- Confirmation: You will be asked to confirm this action. Once an order is cancelled, it cannot be undone.
Responding to Cancellation Requests
If a customer requests a cancellation before you have shipped the item, you will see a notification on the order.
- Check Status: If you haven't packed or shipped the item yet, we suggest approving the request to avoid a return later. It's not required of you to approve or deny the request.
- Approve: Click "Approve Cancellation" to refund the customer instantly and return the item to your inventory.
- Deny (Already Shipped): If the item is already with the carrier, the request will be automatically denied.
💡 Fulfillment Best Practices
- Ship Within 24-48 Hours: Fast shipping improves your store's visibility in search results.
- Double-Check Tracking: Entering an incorrect tracking number can lead to customer confusion and potential disputes.
Managing Order Issues: Returns, Replacements, and Missing Packages
Sometimes things don't go according to plan. Whether a customer is returning an item or reporting a missing package, the Returns dashboard helps you resolve these problems quickly and fairly.
📋 Table of Contents
- 1. The Returns Dashboard
- 2. Handling Returns
- 3. "Refund Instead" vs. Traditional Refunds
- 4. Processing Replacements
- 5. Solving Missing Package Claims
- 6. The Dispute Process
- 7. Deadlines and Response Times
- 💡 Dispute Resolution Best Practices
In your dashboard, navigate to Orders > Returns. Your cases are organized into three tabs:
- Needs Action: New cases that require your immediate attention (e.g., a new return request or a package reported missing).
- In Progress: Cases that have been started but aren't finished yet (e.g., waiting for a return shipment to arrive).
- Completed: Resolved cases.
Managing a Return Request
When a customer wants to return an item:
- Review Requirement: You must review the customer's reason for the return in the Needs Action tab.
- Your Options:
- Approve: Provide a return label for the customer.
- Refund Instead: If the item isn't worth returning, you can issue a full refund immediately and let the customer keep the item.
- Deny: You can also deny the request (you must provide a reason). The return will then be forwarded to the Wabbus support team for review.
- Dispute: Use this if the item returned to you is damaged or different from what was sent.
3. "Refund Instead" vs. Traditional Refunds
Knowing when to use each refund type can save you money on shipping and processing.
Traditional Refund
Used after you have received the returned item and verified its condition.
- Process: Customer ships item -> You inspect -> You click "Refund".
Refund Instead (No Return Required)
A faster way to resolve low-value issues or defective items.
- Save on Shipping: You avoid paying for the return shipping label.
- Customer Satisfaction: The customer is refunded immediately and keeps the item.
- Usage: Best for items where the return shipping cost exceeds the item's salvage value.
4. Processing Replacements
If a customer receives the wrong item or a damaged product, they may request a replacement instead of a refund.
- Approve the Request: Confirm that you will send a new item.
- Ship the New Item: Once the original is returned (if required), use the Ship Replacement button to enter the new tracking number.
5. Solving Missing Package Claims
A "Missing Package" claim happens when a customer's tracking says "Delivered," but they haven't received the item.
- Investigation: Check with your carrier to confirm the delivery location.
- Approve: If the package is truly lost, you can approve a refund or replacement.
- Deny: If you have "Proof of Delivery" (like a photo or signature), you can deny the claim by uploading your evidence. The claim will then be forwarded to the Wabbus support team for review.
6. The Dispute Process
If a customer returns an item that is damaged, used, or substituted with a different product, you should Dispute the return.
- Document the Damage: Take clear photos of the item, the packaging, and the shipping label.
- Submit the Dispute: Click the Dispute button on the case in your dashboard.
- Wabbus Review: Our team will review your evidence alongside the customer's claim.
priority_high Important
You must initiate a dispute within 48 hours of receiving the return. Later claims may not be accepted.
7. Deadlines and Response Times
Every case has a Deadline Date determined by our Service Level Agreement (SLA).
- SLA Countdown: You will see a live countdown timer on each case in the "Needs Action" list.
- Priority: Requests with less than 24 hours remaining are highlighted to help you prioritize your work.
- Consequences: If you do not respond to a case before the deadline, it may be automatically resolved in the customer's favor.
8. Efficiency Tips: Bulk Actions
If you have many returns or replacements to process:
- Drag-to-Select: You can click and drag across order checkboxes to quickly select multiple cases.
- Bulk Updates: Use the bar at the bottom to perform actions (like approving multiple returns) at once.
💡 Dispute Resolution Best Practices
- Be Clear and Kind: Even in a dispute, professional language helps resolve issues faster.
- Photos are Key: Always upload clear photos of damaged returns to support your case.
Custom Orders: Offers, Policies, and Fulfillment
Custom orders let you negotiate a private, made-to-order sale with a buyer in Messages, then turn that agreement into a real order. Every custom offer is anchored to one of your existing public listings — reviews from the sale roll up to that listing, and the order follows the custom return policy you set (not the standard store policy).
This guide covers setup, sending offers, fulfillment, payouts, and disputes.
📋 Table of Contents

- 7. Managing Offers
- 8. Fulfilling a Custom Order
- 9. Getting Paid
- 10. Custom Order Disputes
- 11. Cancellations
- 💡 Custom Order Best Practices
1. How Custom Orders Work
Custom orders are different from standard orders:
| Standard orders | Custom orders | |
|---|---|---|
| Return policy | Platform return policy (30 days) | Your custom-order policy (per listing or per offer) |
| Product | Your public listing | A private offer tied to a base listing |
| Reviews | On the listing purchased | On the base listing you selected |
How a custom order starts
A custom order can begin during any conversation with a buyer in Messages — it does not have to start from the Custom Order button on a listing.
Common paths:
- From a listing: The buyer taps Custom Order on your product page, which opens a message thread about that listing. You negotiate, then send a Custom Offer; they accept and pay from the offer.
- From an existing thread: You are already chatting with a buyer about customization. When you are ready to quote, click Send Custom Offer in that conversation and select the base listing the work is based on.
In both cases, the buyer accepts the offer and pays from the offer card — not via cart checkout.
Important rules:
- You send offers from Messages (Seller Center or vendor mobile app).
- Every offer must be linked to a base listing that has custom orders enabled. Custom orders can be enabled within the listing itself.
- Platform-fulfilled (FBW) variants cannot be used for custom orders.
2. Setting Up Your Listings
Before you can send a custom offer, at least one listing must be configured:
- Open Products and create or edit a listing.
- Find the Custom Orders section.
- Turn on Allow customized orders.
- Select a return policy template (required before you publish).
info Note
Standard purchases from the same listing always use the platform return policy. The template you pick here applies only to custom orders from that listing.
If you enable custom orders but do not select a policy, you cannot publish the listing until you choose one or turn the toggle off.
3. Policy Templates
Templates save time when you offer custom work on many listings.
- Go to Account Settings → Return Policies (Custom order return policies).
- Click New template and set:
- Accept returns — on or off
- Return window — Days customer has to return the order after the delivery date.
- Allow cancellations — This determines how long a buyer has to cancel an order after it has been placed. For example, If the seller sets it for 24 hours, the buyer will have 24 hours after order creation to cancel the order. If you set it to 0, than the buyer will not be able to cancel the order on their own. The seller can always cancel the order themselves.
- Cancellation window — The amount of time a customer has to cancel an order after it has been placed.
- Save the template.
- On any listing, pick the template in the Custom Orders section — or use Apply to listings to enable custom orders on multiple listings at once.
Changing a template later does not change policies on orders already placed.
4. Starting a Conversation
A custom order can start in any buyer conversation — you do not need to wait for the buyer to tap Custom Order on a listing first.
From a listing
- A buyer views your listing and taps Custom Order (shown only where you enabled custom requests).
- They are taken to Messages with a pre-filled request about that listing.
- Negotiate details in the thread.
- When you are ready to quote, click Send Custom Offer.
- The buyer accepts the offer and pays from the offer card.
That listing is usually pre-selected as the base listing when you create the offer.
From an existing thread
- Open Messages and find the conversation.
- Discuss what the buyer wants customized.
- Click Send Custom Offer and select the base listing the work should be tied to.
- The buyer accepts the offer and pays from the offer card.
5. Sending a Custom Offer
From the message thread, open Send Custom Offer and fill in:
| Field | What to enter |
|---|---|
| Base listing | The public listing this custom work is based on (required; cannot be changed when revising) |
| Listing title | A clear title for this custom item |
| Photos | Up to 8 images — inherited from the base listing; you can reorder, remove, or add your own |
| Price / unit | Per-unit price (minimum $1.00) |
| Quantity | Number of identical units |
| Shipping cost | Shipping charged on this offer |
| Processing time | How long production will take (from 1–2 business days up to 10–12 weeks) |
| Description | Optional — sizing, materials, care instructions, or agreed terms |
Click Send Offer. The offer appears in the thread as a card the buyer can accept or decline.
info Note
You see your offer immediately. If you uploaded new photos, the buyer may see it a moment later while images are processed. If a photo fails review, the failed images will just be replaced with the base listing photos.
6. Return and Cancellation Policies
Listing default
By default, each offer inherits the custom-order policy from the base listing’s template.
Per-offer override
When creating or revising an offer, you can turn on Customize the return policy for this order to set different terms for that specific deal.
7. Managing Offers
Offers will expire within 24 hours if buyer does not accept it.
Offer statuses
| Status | Meaning |
|---|---|
| Offer Sent | Waiting for the buyer |
| Revised | Replaced by a newer offer you sent |
| Purchased | Buyer paid — view the order in Orders |
| Declined | Buyer declined |
| Expired | 24 hours passed without payment |
| Cancelled | Payment failed or was abandoned at checkout |
Revising an offer
You can Revise Offer while the offer is still Offer Sent, not expired, and the buyer has not started checkout. Revising sends a new offer and marks the previous one as Revised.
You can not revise once the buyer has begun payment.
Only one pending offer exists per conversation at a time.
8. Fulfilling a Custom Order
After the buyer pays:
- The offer shows Purchased — click View order, or find it in Orders (look for the ✦ Custom Order badge).
- Fulfill it like any other order: pack, ship, and enter carrier and tracking number.
- Honor the processing time you quoted on the offer.
Bulk shipping and CSV tracking import work the same as for standard orders.
9. Getting Paid
Custom orders use a different payout schedule than standard orders. Custom order payouts are typically processed once both the return period and dispute window have ended. Payouts are only held for longer periods if the seller offers an extended return policy or if there is an active dispute associated with the order.
- Confirm receipt — Buyer can confirm receipt before the return and dispute windows end. This will finalize the order and will release the payout for that shipment.
- Open a dispute — payout for that item is paused while support reviews
If the buyer does neither, the order auto-finalizes after 3 business days and you are paid.
If you ship multiple packages on one order, each package can finalize and pay out independently.
10. Custom Order Disputes
Custom order disputes are separate from standard returns.
Once a buyer’s package has been delivered, they have the seller’s applicable return window, plus an additional 3 business days from the delivery date, to report any issues with the order.
For example, if the seller’s policy states that the item is final sale or not eligible for returns, the buyer must submit a dispute within 3 business days of delivery.
Disputes are different from standard returns and are generally intended for situations where the buyer received an item that was not as described or expected. If a dispute is opened, the seller will have an opportunity to respond and work directly with the buyer to resolve the issue.
If the buyer and seller are unable to reach a resolution, our support team will review the case and make a final decision.
This 3-business-day reporting window helps protect buyers in situations where the item differs from what was ordered, arrives damaged, is lost, or otherwise does not match the expectations set by the listing.
When a buyer reports a problem with a delivered custom order:
- A Dispute case is opened and appears in Messages → Support (Support Messages), alongside your support tickets.
- Open the dispute to see the reason, order details, and the buyer’s explanation.
- Reply with text and photos if you need to explain your side.
- Support will review the case and resolve it.
Common dispute reasons include: arrived damaged, missing parts, wrong item, or not as described.
Respond promptly and include clear photos when relevant.
11. Cancellations
Before payment: The offer expires, the buyer declines, or you send a revised offer — no order is created.
During checkout: If payment fails or the buyer abandons checkout, the offer is Cancelled. The buyer must accept a new or revised offer to try again.
After payment: Cancellation follows the policy snapshot on that order (your template, or any per-offer override). If you allowed a post-payment cancellation window, the buyer may cancel within those hours for a refund.
💡 Custom Order Best Practices
- Enable custom orders only on listings you are willing to customize — and keep policies realistic for made-to-order work.
- Use clear titles and descriptions on offers so buyers know exactly what they are purchasing.
- Set processing time honestly — long lead times reduce disputes and chargebacks.
- Upload good reference photos on the offer so the buyer sees the finished concept before paying.
- Reply quickly in Messages — buyers often compare multiple sellers before accepting an offer.
For standard returns, replacements, and missing-package claims on non-custom orders, see the Managing Order Issues guide.
Getting Paid: Your Financials and Payouts
Managing your earnings is straightforward in the Wabbus Seller Center. This guide explains how your balance works, how to get paid, and where to find your payout history.
📋 Table of Contents
- 1. Understanding Your Balance
- 2. Why Funds Move to "Pending"
- 3. Setting Up Your Payout Method
- 4. When Will I Get Paid?
- 5. Payout History & Reports
- 6. Identity Verification (KYC)
- 💡 Financial Best Practices
1. Understanding Your Balance
Your main dashboard shows your financial status in real-time:
- Available Cents: The funds currently ready to be paid out to your bank account.
- Pending/Hold Cents: Funds that have been earned but are currently held for security, shipping, or returns processing.
2. Why Funds Move to "Pending"
You may notice a portion of your balance is marked as "Pending" or "on Hold." This is normal and happens for a few reasons:
- Payout Reserve: A small percentage of recent sales may be held briefly to cover potential customer refunds or disputes.
- Label Cost Hold: If Wabbus-generated shipping labels are created, the cost is deducted from your pending balance.
3. Setting Up Your Payout Method
- Navigate to Account Settings > Identity.
- Click Connect.
- You will be redirected to securely enter your bank details and business information.
- Once completed, you will see your completed status in the Seller Center.
4. When Will I Get Paid?
Once your shipment is confirmed as delivered, Wabbus begins processing your payment automatically — no action needed on your end.
Here's what to expect:
- Most vendors can expect payouts within 5–7 days of delivery confirmation. As you build your track record on Wabbus, this window shortens — established sellers see funds arrive faster.
- Payouts run automatically every night. Once your funds clear the processing window, they'll be included in the next nightly run.
- For higher-value orders, your payment may be released in installments over a short period rather than all at once. This is more common for newer vendors and will reduce as you become more established on the platform. Your full earnings are always paid out — just on a staggered schedule.
- A portion of each payout is held briefly and released automatically once the standard return window has passed. This is not a penalty — it's a safeguard that protects the integrity of the marketplace for buyers and sellers alike. You can see your held balance at any time on your dashboard.
- You'll receive an email each time a payout is sent to your bank.
lightbulb Tip
The fastest way to get paid is to ship promptly and use tracking — your payout clock starts the moment delivery is confirmed.
info Note
Changed your bank details recently? There may be a brief additional delay after updating your payout account. This is a standard security measure and will resolve automatically.
5. Payout History & Reports
To see a record of all past transfers:
- Go to the Payouts page in your dashboard.
- The Payouts Table shows the date, amount, and status (e.g., "Succeeded" or "Processing") of each payment.
- Exporting Data: Click the Export CSV button to download a spreadsheet of your financial history for accounting or tax purposes.
6. Identity Verification (KYC)
To comply with financial regulations, all vendors must verify their identity before they can receive their first payout.
- What is Needed: You’ll be asked a few questions about your business, along with relevant information to verify your identity.
- Where to Upload: These documents are uploaded securely through the Identity portal within your account settings.
- Status Updates: You will see a "Verified" badge next to your account once this process is complete.
💡 Financial Best Practices
- Keep Your Info Current: Always ensure your bank account details are up to date to avoid payout delays.
- Review Regularly: Check your Hold Breakdown to understand exactly how your funds are being managed.
- Tax Readiness: Export your payout history at the end of each month to keep your financial records organized.
Seller Fees: What You Pay
Understanding your costs is critical to running a profitable business. At Wabbus, we believe in keeping our fee structure entirely transparent and as low as possible.
📋 Table of Contents
1. Zero Selling Fees
Unlike many other marketplaces, we do not take any seller commission fees or listing fees.
- No monthly subscription fees.
- No per-item listing fees.
- No percentage-based commission on your sales.
You keep the revenue from the items you sell.
2. Payment Processing Fees
info Note
To securely process transactions through our payment gateway (Stripe), there is a standard payment processing fee applied to each order.
- The Fee: 2.9% + $0.40 USD per transaction.
- How it's applied: This fee is automatically deducted from the total order amount before the remaining funds are added to your available balance.
- Volume: If a customer purchases multiple items from your store in a single checkout, the $0.40 flat fee is only applied once.
This processing fee strictly covers the credit card network costs and secure transaction handling. Wabbus does not take a cut of this fee.
We periodically evaluate our fee structure to ensure it remains fair and competitive.
💡 Pricing Best Practices
- Build it in: Since our only cost is the flat payment processing fee, you can easily build this 2.9% + $0.40 into your item prices without drastically inflating costs for your customers.
- Review your margins: Use your analytics dashboard to verify that your profit margins are exactly where you expect them to be.

- Star Rating: Your overall average rating is displayed on your vendor profile page for customers to see.
2. Filtering Your Feedback
Use the Reviews Dashboard to focus on the feedback that needs your attention most.

- Rating Low/High: Sort by star rating to prioritize addressing complaints or celebrating your successes.
- Product Filter: Select a specific product to see all the feedback for that item in one place.
3. Responding to Customers
- Find a review and click Write a Response.
- Type your message clearly and professionally.
- Click Save Response. Your reply will be visible to the customer and any other shopper viewing that product.
4. Handling Negative Reviews
If you receive a low rating:
- Be Professional: Avoid getting defensive. A calm, helpful response shows other customers that you care about their experience.
- Learn from the Feedback: If multiple customers mention the same issue, consider updating your product description or quality control.
5. Exporting Your Review Data
To keep a record of your feedback for internal training:
- Click the Export CSV button on the Reviews page.
- The export includes the Customer Name, Date, Product Name, SKU, Variant, Star Rating, Comment, and Vendor Response.
- Use this spreadsheet to track your service performance over months or years.
💡 Reputation Best Practices
- Respond Quickly: Replying to a new review within 24 hours shows customers that you are an active and reliable vendor.
- Thank Your Supporters: A simple "Thank you for your purchase!" on a 5-star review goes a long way in building brand loyalty.
- Use High-Resolution Photos: Many negative reviews are caused by customers feeling the product looks different in person than it did online. Accurate photos and descriptions are your best defense.

Your business details help Wabbus and your customers identify who you are.
- Business Profile: Keep your legal name, billing address, and contact information up-to-date here.
- Public Profile: This is how your store appears to shoppers on the marketplace. You can update your store name, logo, and "About Us" description here to build trust with your buyers.

- Adding Members: In the Team tab, you can invite new users via their email address.

3. Shipping and Return Address
To ensure smooth returns and accurate shipping costs:
- Go to Account Settings > Shipping Profile.
- From Address: Provide the physical address where you ship your packages from.

1. Connecting Etsy & Step-by-Step Import Walkthrough
Connecting your Etsy shop and importing listings into Wabbus follows a 10-step workflow:
- Open Account Settings: Go to Account Settings at the bottom of the left navigation sidebar.
zoom_in Click to Enlarge- Navigate to Integrations: Click on the Integrations tab in the top settings bar.
zoom_in Click to Enlarge- Click Connect Etsy: Locate the Etsy integration card and click Connect Etsy.
zoom_in Click to Enlarge- Log In to Etsy: Sign in to your Etsy account and authorize read access for Wabbus.
zoom_in Click to Enlarge- Select Listings: Choose the active Etsy product listings you wish to import.

zoom_in Click to Enlarge- Background Processing: Monitor the live submission status bar as products register in the background.
zoom_in Click to Enlarge- Submission Success: Receive the confirmation message and view your created products in the Wabbus catalog.
zoom_in Click to Enlargeinfo Note
Etsy integration is for importing listings into Wabbus only. It does not send Wabbus orders to Etsy.
2. Who Can Use Integrations
- Only the store owner can manage Integrations.
Go to Account Settings → Integrations.
3. Connecting Shopify
- In Shopify Admin, open Apps and install wabbus-sync (or open it if it is already installed).
- Approve access when Shopify asks.
- On the Wabbus Sync page, choose Link Wabbus account and sign in to your seller account.
Do not type a .myshopify.com domain on the Wabbus Integrations page — install always starts from Shopify.
After you’re connected:
- Import products — use the import wizard whenever you want to bring products into Wabbus (see below). This is not a continuous catalog sync; you choose what to import.
- Orders — when a customer pays on Wabbus, the order can be sent to your Shopify store so you can fulfill it there. Those same orders can also be fulfilled on Wabbus.
- Fulfillment — if you fulfill in Shopify with tracking, that shipment status will update on Wabbus too.
priority_high Important
Connecting Shopify does not keep your product catalog automatically up to date. Use Import products from Shopify when you want to add products to Wabbus.
4. Importing Products
Once a store is connected, open the import section on the Integrations page.
Choose products or listings
Select what you want to bring over. You can select items, select all on the page, and load more. You’ll see labels if something is already imported or needs to be selected again to refresh.
Complete details
Add anything Wabbus still needs before submission:
- A specific product category
- Package weight (lbs) and dimensions (inches)
- Key features (at least one; you can edit what we prefill)
- Customer shipping price on Wabbus (first item and each additional item)
You can apply the same package details to many items at once, skip an item, or remove it from this import. Removing it from the import list does not delete anything from Shopify, Etsy, or Wabbus.
Submit and wait for approval
Start the import. Work continues in the background — you can leave the page and come back.
Imported products are submitted for Wabbus approval. They are not live until they’re approved.
5. Fixing Import Problems
If an item can’t be imported, the page will tell you what to fix. Common fixes:
- Add at least one image and a valid variant in Shopify or Etsy
- Choose a more specific category
- Fill in weight, dimensions, and at least one key feature
- Simplify products that have too many options or variants
- Check prices if the page says a price is missing or invalid
Update the product in Shopify or Etsy when asked, then try again. Products that are already on Wabbus can’t be imported a second time as new listings.
6. Disconnecting
Shopify
Click Disconnect and confirm. New Wabbus orders will no longer be sent to your Shopify store. Products already on Wabbus stay on Wabbus. You can reconnect later.
Etsy
Click Disconnect and confirm. You can reconnect at any time. Products already on Wabbus stay on Wabbus.
💡 Tips
- For Shopify, keep SKUs aligned between Wabbus and Shopify so orders match cleanly.
- Set Wabbus shipping prices carefully — they are not copied from your Shopify or Etsy shipping settings.
- Import in smaller batches so it’s easier to finish details and fix anything that needs attention.
Your Storefront: Building a Custom Shop Experience
Your Wabbus storefront is the branded homepage customers see when they visit your shop. Using the Storefront builder, you can design a fully customized layout — uploading hero banners, showcasing featured products, and arranging visual modules.

1. Understanding Designs
A Design is a saved layout for your storefront. You can create multiple designs (e.g., "Summer Collection", "Holiday Theme") and switch between them. Only one design can be Live at a time — this is what customers see when they visit your store.
Designs have three statuses:
| Status | Meaning |
|---|---|
| Live | This design is currently live on your storefront. |
| Draft | A work-in-progress. Customers cannot see it yet. |
| Pending | A submitted design that is pending review from support. |
2. Creating a New Design
- Go to Storefront Layout in the left sidebar.
- Click Start a New Design.
- The studio will open immediately with a blank canvas.
lightbulb Tip
You can also Duplicate an existing design to use it as a starting point. This is useful for creating seasonal variations without starting from scratch. Duplicates will appear in your drafts upon creation.
3. The Studio: Building Your Layout
The studio is a drag-and-drop editor with two panels:
- Left Panel (Module Palette): The modules you can add to your layout. Click or drag any module into the canvas.
- Center (Canvas): Your live layout. Modules appear in the order they will be displayed to customers.
Adding Modules
Click any module card in the left panel to instantly add it to the bottom of the canvas, or drag and drop it onto the canvas area.
Switching Between Edit and Preview
At the top of the studio, use the Edit and Preview Storefront tabs to toggle between building mode and a live preview of how your storefront will look to customers. The preview updates as you make changes.
Saving
Use the Save Draft button to explicitly save, or Submit for Review to push the design live to your customers immediately. The Discard Changes button reverts to your last saved state — it is only active when you have unsaved changes.
4. Module Types Explained
Hero Banner
A full-width banner image at the top of your store — the first thing customers see.
Hero Video
Replaces the static banner with a video for a more dynamic storefront experience.
Image Carousel
A horizontally sliding gallery of up to 6 images — ideal for showcasing a collection, multiple product angles, or a visual story.
- Each slide is an image you upload directly.
- Customers can swipe or click arrows to browse slides.
- Each image is clickable and will link to the product selected.
Product Grid
A structured grid of hand-picked products from your catalog, displayed as standard product cards.
- Select a Module Title (e.g., "Bestsellers", "New Arrivals").
- Search and pick up to 12 products by name or SKU. Each slot shows the product's image and price.
- Use the arrow buttons on each card to reorder products within the grid.
Product Carousel
A horizontally scrollable row of hand-picked products — similar to a Product Grid but displayed as a single scrollable row.
- Select a title and pick up to 6 products by name or SKU.
- Great for featuring a curated selection without taking up much vertical space.
Spotlight Grid
A 2×2 grid of large feature cards, each linked to a specific product.
- You have exactly 4 slots to fill. Slots without a product assigned are hidden on the live storefront.
- To add a product: Use the search box in each slot to find a product by name or SKU. The product's image auto-populates once selected.
- Reorder cards: Use the arrow buttons on each card to move it left or right.
- Clear a slot: Click the Clear button on any card to remove it.
info Note
The Spotlight Grid always shows 4 slots in the editor. Empty slots are not shown to customers.
5. Publishing and Managing Designs
Publishing
When you are ready, click Save and Publish. This immediately makes the design live on your storefront.
Renaming a Design
From the Storefront list page, hover over a design row and click the More (three-dot) menu, then select Rename.
Deleting a Design
Draft designs can be deleted at any time from the More menu. Published designs must be replaced by publishing a different design first.
Duplicating a Design
Select Duplicate from the More menu on any design to create an identical copy as a new Draft. Useful for building seasonal variations.
6. Organizing Multiple Designs
The Storefront page shows all your designs split into two tabs:
- Live: Designs that are currently live.
- Drafts: Work-in-progress designs.
- Pending A submitted design that is pending review from support
Select multiple designs using the checkboxes and use the Bulk Actions toolbar that appears to delete several at once.
Pro Tips for a Great Storefront
- Start with the Hero: The Hero Banner or Hero Video is the most impactful element. Use a high-quality visual here first.
- Keep it focused: 3–5 well-configured modules is more effective than a long, cluttered page.
- Preview before publishing: Always switch to the Preview tab to review your layout before making it live.
- Build seasonal designs in advance: Create holiday or sale designs as Drafts ahead of time, then publish them with one click when ready.
Product Story: Rich Visual Content for Your Products
Product Story is a tool that lets you create rich, visual content pages for your products — going far beyond the standard title, description, and photos. Using a block-based editor, you can craft immersive product showcases with full-width hero images and cinematic video sections that appear directly on your product detail page.
A Product Story template must be reviewed and approved before it goes live.

- Product Story Best Practices
1. What is a Product Story?
A Product Story is a content section that appears on your product's detail page. While a standard product listing uses structured fields (title, bullets, price), a Product Story lets you tell the story of your product through:
- Full-width hero images with optional headlines and subheadlines
- Video blocks for demos, tutorials, or lifestyle footage
One template can be assigned to multiple products. For example, if you sell a skincare line, you can create one Product Story template and apply it to every product in that range.
2. Creating a Template
- Go to Storefront → Product Story in the left sidebar.
- Click Start a New Template.
- The editor opens immediately with a blank canvas. Your template will be saved as Draft.
You can also Duplicate an existing template to use it as a starting point — useful when you want a slight variation for a different product line.
3. The Block Editor
The Product Story editor works similarly to the Storefront Studio and has two panels:
- Left Panel (Block Palette): The types of blocks you can add. Click or drag a block onto the canvas.
- Right Panel (Canvas): Your template's blocks, in the order they will appear on the product page.
Adding Blocks
Click a block type in the left panel to add it to the canvas, or drag and drop it to a specific position.
Reordering Blocks
Drag block cards on the canvas to change their order.
Removing Blocks
Click the delete (trash) icon on any block card to remove it.
Block Limit
You can add a maximum of 8 blocks per template.
Saving
Click Save Draft to manually save without submitting, or Submit for Review when you're ready to go live.
4. Block Types Explained
Hero Image
A full-width, cinematic image block — the most commonly used block type.
Hero Video
A full-width video block for showcasing your product in motion.
info Note
After uploading a video, keep the editor open until the "processed" confirmation appears. Do not navigate away during transcoding.
5. Assigning Products to a Template
To assign products:
- In the editor, find the Assigned Products panel (right side or below the canvas).
- Click Add Products.
- Search your catalog by product name.
- Select one or more products and click Add Selected.
Products Already Assigned Elsewhere
If a product is already assigned to a different template, it will appear greyed out in the search results with an "Already assigned" notice. You can click Move to this template to reassign it — this will remove it from the other template.
priority_high Important
Each product can only be assigned to one Product Story template at a time. Moving a product will remove it from its previous template.
Removing a Product
To unassign a product, click the ✕ button next to it in the Assigned Products panel.
6. Submitting for Review
When your template looks complete and all products are assigned:
- Click Submit for Review in the top-right header.
- The template status changes to Pending.
- The Wabbus review team will check your content for quality and policy compliance.
- You will be notified when the template is Approved or if it is Rejected with feedback.
If Rejected
- Check the rejection reason displayed on the template in your list.
- Fix the issues described (e.g., image quality, policy compliance, missing content).
- Re-save the template and click Submit for Review again.
lightbulb Tip
Common rejection reasons include low-resolution images, misleading claims in headlines, or an assigned product that doesn't match the template content. Always use product-relevant imagery and accurate copy.
7. Statuses and Managing Templates
| Status | Meaning |
|---|---|
| Draft | Work-in-progress. Not visible to customers. |
| Pending | Submitted and awaiting approval from support. |
| Live | Approved and visible on your product page(s). |
| Rejected | Not approved. Check the reason and revise before resubmitting. |
Managing Your Templates
From the Product Story list page (under Storefront → Product Story):
- Live tab: Shows all approved templates currently visible to customers.
- Drafts tab: Shows your work-in-progress templates.
- Pending tab: Shows templates submitted and awaiting review.
- Rejected tab: Shows templates that were not approved.
- Use the ⋮ menu on any row to Edit, Duplicate, Rename, or Delete a template.
- Select multiple templates with the checkboxes and use the Bulk Actions toolbar to delete them all at once.
Product Story Best Practices
- Lead with your strongest visual: Place your best image as the first block — it creates the strongest first impression.
- Use video sparingly: One well-produced video is more effective than three mediocre ones.
- One template per product line: Create a single polished template for a collection rather than many similar templates. You can always duplicate and customize as needed.
Product Personalization: Collecting Buyer Details
The Personalization Studio lets you collect custom text, photos, and option selections from buyers on your product listing page — before they add an item to their cart. Once a buyer checks out, their inputs are saved to the order so you can fulfill it correctly.
This guide covers setting up personalization on a listing, block types, how buyer inputs appear on orders, and pricing for paid add-ons.
Table of Contents
- 1. How Personalization Works
- 2. Enabling Personalization on a Listing
- 3. The Personalization Studio
- 4. Block Types
- 5. Required vs. Optional Blocks
- 6. Paid Add-ons and Option Pricing
- 7. The Buyer Preview Pane
- 8. Viewing Personalization Details on an Order
- Personalization Best Practices
1. How Personalization Works
Personalization is a listing-level feature. When enabled, buyers see your configured input fields on the product detail page and complete them before adding the item to their cart.
| Standard listing | Personalized listing | |
|---|---|---|
| Buyer input | None required | Text, photo uploads, or option selections |
| How it's captured | — | Frozen into the order at checkout |
| Pricing | Set on the listing | Base price, plus any add-on fees from option choices |
| Works with Made to Order | N/A | Yes — a listing can be both personalized and made to order |
The buyer's responses are stored as a personalization snapshot on the order and appear in the Personalization section of the order detail page.
Personalization is not the same as Custom Orders. Custom orders are private offers negotiated in Messages. Personalization is filled in on the public listing before add to cart.
2. Enabling Personalization on a Listing
- Go to Products and open an existing listing, or click Add Product.
- Scroll to the Personalization section.
- Toggle on Allow personalization on this listing.
- Click Edit to open the Personalization Studio.
- Configure your blocks and click Apply to Listing.
- Save or publish the listing.
info Note
The Edit link only appears after the toggle is turned on. If you turn personalization off after configuring blocks, your blocks are saved and will reappear if you re-enable the toggle.
3. The Personalization Studio
The Studio is a two-panel editor:
- Left panel (Personalization Blocks): Your configured input blocks, listed in the order buyers will see them. Use the drag handle to reorder blocks.
- Right panel (What the buyer sees): A live preview of the buyer-facing layout, updating as you make changes.
Adding blocks
Click one of the block type buttons at the top of the left panel to add a new block:
- + Text Field
- + Photo Upload
- + Option Buttons
- + Instructions
- + Preview Image
New blocks are added to the bottom of the list. Drag them into any order.
Saving changes
When you are done, click Apply to Listing. This commits your blocks back to the product form — the listing is not live until you save or publish it from the product form.
To discard all blocks and start over, click Clear All. You will be asked to confirm before anything is removed.
4. Block Types
Text Field
Use a Text Field when you need the buyer to type a custom value, such as an engraving, a name, or a date.
| Setting | Description |
|---|---|
| Title | The label shown above the input (e.g., "Enter engraving text") |
| Placeholder | Light hint text shown inside the field (e.g., "e.g. Always in our hearts - 2024") |
| Max limit | Maximum number of characters the buyer can enter (1–1,000) |
| Required | Whether the buyer must fill this in before adding to cart |
Photo Upload
Use a Photo Upload block when you need the buyer to submit an image — for example, a face for a portrait, artwork for a print, or a reference photo.
| Setting | Description |
|---|---|
| Title | The label shown above the upload area (e.g., "Upload your photo") |
| Guideline | A short instruction shown below the title (e.g., "Use a bright, high-quality photo") |
| Max photos | Maximum number of photos the buyer can attach (1–10) |
| Required | Whether at least one photo must be uploaded before adding to cart |
Option Buttons
Use Option Buttons when you want the buyer to select from a list of predefined choices — for example, a finish, color, style, or add-on product like a gift box.
| Setting | Description |
|---|---|
| Title | The label shown above the options (e.g., "Select a finish") |
| Selection mode | Pick 1 — buyer selects exactly one option. Pick Multiple — buyer can select any number. |
| Required | Whether the buyer must select at least one option before adding to cart |
| Choices | The individual options the buyer can select (see Paid Add-ons) |
| Choice image | An optional thumbnail image per choice (square, at least 300×300px) |
Instructions
Use an Instructions block to display a read-only note to the buyer — for example, a spelling reminder or a usage disclaimer. Buyers cannot interact with it and it collects no input.
| Setting | Description |
|---|---|
| Text | The message displayed to the buyer (e.g., "Please ensure spelling is accurate before purchase") |
Preview Image
Use a Preview Image block to show buyers an example of the finished product — for example, a sample engraving, a size reference, or a before/after. This block is display-only and collects no buyer input.
| Setting | Description |
|---|---|
| Image | The reference photo to display (required — a square image at least 300×300px) |
| Caption | An optional short description shown below the image |
5. Required vs. Optional Blocks
Each block (except Instructions and Preview Image) has a Required toggle:
- Required: The buyer cannot add the item to their cart until they have filled in or selected something for this block.
- Optional: The block is shown but the buyer may skip it.
Set a block to Required when the information is essential to fulfilling the order correctly — for example, engraving text or a reference photo. Leave it Optional when the buyer might reasonably want to skip it, such as a notes field.
6. Paid Add-ons and Option Pricing
When using Option Buttons, you can attach an additional fee to any individual choice. If a buyer selects that option, the fee is automatically added to the item subtotal at checkout — no manual quoting required.
To add a price to a choice:
- In the Studio, open or add an Option Buttons block.
- Find the choice you want to price.
- Enter a dollar amount in the +$ field next to that choice.
- Leave the field at 0.00 for choices with no additional cost.
info Note
Prices are set in dollars and stored in cents internally. Use increments of $0.50 for consistency. The add-on fee is shown to the buyer as +$X.XX next to the option label.
7. The Buyer Preview Pane
The right panel in the Studio shows what the buyer sees on the product detail page. It updates in real time as you configure blocks.
Use this panel to verify:
- The order and labels of your blocks make sense to a buyer.
- Required and optional indicators appear where expected.
- Option thumbnails, prices, and selection modes look correct.
- Preview images and instructions display as intended.
8. Viewing Personalization Details on an Order
When a buyer checks out with a personalized item, their responses are saved to the order and visible in Orders → [Order] → Personalization.
The Personalization section shows each submitted block by its label, with the buyer's response:
| Answer type | What you see |
|---|---|
| Text | The buyer's typed response |
| Options | The selected choice labels, with thumbnails if configured |
| Photos | Thumbnail previews of each uploaded photo |
If an order contains no personalization inputs (for example, all fields were optional and skipped), the Personalization section is not shown.
Personalization Best Practices
- Use clear, specific block titles. Buyers read these as instructions. "Enter the name to engrave (first name only)" is clearer than "Name".
- Set required only when truly necessary. Blocking the cart on an optional field creates friction and may reduce conversions.
- Add a Preview Image or Instructions block when your product has specific requirements — for example, minimum resolution for photo prints, or spelling guidance for engravings.
- Use selection mode thoughtfully. Pick 1 is appropriate for mutually exclusive choices (finish, color). Pick Multiple suits add-ons (gift wrapping, extras).
- Test the preview pane before publishing. Walk through the buyer experience to confirm the layout reads naturally top to bottom.
- Personalization works alongside Made to Order. If you craft items on demand, you can enable both features on the same listing. It is still distinct from Custom Orders (private offers in Messages).

1. Understanding Exports
Large datasets (like 12 months of order history) can take a few minutes to prepare. Instead of making you wait on the page, the Seller Center generates these files in the background. Once a report is ready, it is saved in your Reports list for 7 days.
2. Types of Reports
You can generate several types of detailed files:
- Orders: A line-by-line list of every transaction, including item details, shipping info, and order status.
- Earnings: A breakdown of your revenue, fees, and net earnings per order.
- Payouts: A record of all payouts sent to your bank account.
- Products: A snapshot of your current product catalog, including stock levels and pricing.
- Reviews: All customer reviews with star ratings, comments, and response status.
- Returns: A summary of all return and order issue cases.
- Analytics: Aggregated performance data from your analytics dashboard.
3. How to Generate a Report
You can start an export from several places in the dashboard:
- Look for the Export CSV button on the Orders, Payouts, Analytics, Products, Reviews, or Returns pages.
- Select your desired Date Range.
- Click Start Export. You will see a notification that your request has been received.
4. Tracking the Progress
Navigate to the Reports page to see the status of your requested files:
- Pending: Your request is in the queue and will start shortly.
- Processing: The system is currently gathering your data.
- Completed: Your file is ready for download.
- Failed: There was an error generating the file. You can try again or contact support if the problem persists.
5. Downloading Your File
- Once a report status is Completed, click the Download button.
- The file will be saved to your computer as a .CSV file.
- Open with: You can open these files using Microsoft Excel, Google Sheets, or Apple Numbers.
💡 Data Best Practices
- Filter Before Exporting: To keep your files small and easy to manage, use date filters to only export the specific months or weeks you need.
- Download Promptly: Exports are automatically deleted after a week. If you need an older report, you will need to generate it again.
- Secure Your Data: Always store your downloaded files in a secure location on your computer.
